Reaching the Venue

Please note that no group transportation will be organised. All conference participants and speakers must organise their own transport.

By Air
Barcelona airport is the nearest major airport to Bellaterra. A taxi from Barcelona airport to the CRM costs about EUR 45. The journey takes approximately 30 minutes.

Girona Airport is 103 km North East of Barcelona or at about 1 hour 20 minutes by train to Barcelona. There is no public transportation connecting the Girona airport to Bellaterra. The connection has to be made through the city of Barcelona. A bus takes you to Barcelona, and leaves you near the "Arc de Triomf" metro station. From there, take metro Line 1 to "Plaça Catalunya" and take the FGC train (Ferrocarrils de la Generalitat de Catalunya - http://www.fgc.net)

By Rail
From Barcelona airport, terminal 2, to Barcelona city centre:
(if you arrive at Terminal 1, you will first need to take a free bus to terminal 2):
RENFE / Spanish National Railways http://www.renfe.es operate a frequent train service between Barcelona Airport to Barcelona Sants railway station, which is located in the city centre. Journey time is approximately 20 minutes. Departures from the airport are about every 30 minutes throughout the day until about 22.30. Fare is about EUR 2.

From Barcelona city centre to University of Barcelona:
From Plaça Catalunya there are two train services to Universitat Autònoma de Barcelona, run by FGC and RENFE.

- RENFE:  take a train from Plaça Catalunya to Cerdanyola UAB. Trains leave every 30 minutes from 7:34 am to 8:41 pm. Duration 25-30 minutes. Price 1,35 € (2 zones's ticket).  From the Cerdanyola UAB station one can take a free university bus (marked UAB) to most campus locations or walk to the CRM (less than one kilometre away). NOTE: During school holidays and weekends there is no bus service from the train station to the Campus so this option is not advisable then.

FGC: Take the line Vallé - S2 or S55 train to the "Universitat Autònoma station", if you are going straight to the CRM, or "Bellaterra station" if you are going to the Vila Universitària or Hotel Campus. Trains depart approximately every 12 minutes between 5:15 am and 11:50 pm (every 20 minutes on weekends and holidays) and take 33 minutes. Price: 1,85 € (2 zones's ticket), although one can buy a 10 journey, called T10, 2 zones’s ticket for 13,80 € if you plan to make several trips to Barcelona.

Note that the two different train lines (FGC and RENFE) leave from and arrive to entirely separate stations underneath Plaça Catalunya or at the UAB Campus. Hence, if you arrive from the airport by the RENFE train and wish to go on to the CRM by FGC, then you will need to leave the station, cross the square towards La Rambla, and look for  signs. If you wish to take a RENFE train to the UAB, then you will not even need to change platforms, but you will be further off from the CRM at your arrival in the UAB campus. One ticket costs 2.05 € (two-zone ticket), although you can buy a 10-journey two-zone ticket, called T10, for 15.40 €, if you plan to make several trips to Barcelona. Please check the carrier for updated information on prices.

By Bus
From Barcelona Airport, blue buses leave from outside the terminal buildings (T1 and T2) and go downtown Barcelona (Plaça Catalunya, in front of a department store called El Corte Inglés).  There is a bus every 12 minutes and the ride takes around 30-45  minutes. The price is 3.90 € (VISA is accepted; payment can be made inside the bus). From Plaça Catalunya take the FGC or RENFE train.

There is also a night bus from Plaça Catalunya to Bellaterra (Vila Universitaria), from  1h00 to 4h00 a.m. More information is available from http://www.crm.cat/General/N62.pdf

By Road
CRM can be reached on motorway A7. This motorway should be left at exit 9 if travelling from Barcelona and at exit 7 if travelling from France. More information is available from ACESA Catalan highways  http://www.autopistas.com

Free RENFE buses are running from the Conference Hotel Campus to the CRM, where the conference will take place – bus L2 – and from the CRM back to the hotel – bus L5.

 

Accommodation and Meals

Accommodation

Speakers
will be accommodated at the Hotel Campus, www.hotelcampusuab.com/ca/index.php, which is located in the Campus of Bellaterra, 10 minutes walk from the CRM. All rooms have private bathrooms, satelitte TV, telephone, internet access, mini-bar fridge and air-conditioning. English is spoken at the hotel.

Participants will be accommodated at Vila Universitaria . Information about accommodation has been emailed separately. Participants staying at Vila Universitaria can walk to the CRM.

Meals

Breakfast
will be served buffet style at the Hotel Campus from 07:00 to 10:30 hours. Lunches will be served at the University canteen in the Science restaurant. Participants will receive lunch vouchers for each lunch and will be directed to the university canteen.
Speakers will have dinner at the Hotel Campus (time will be communicated separately). No dinner is offered to participants.
Coffee breaks will be served at the conference venue.

Non-residents are expected to have lunch with resident conferencees.
 

Conference Facilities

Conference room
The Auditori meeting-room at the CRM is  equipped with a  data projector, a screen and a computer, which can be used by the Speakers. Blackboards are also available.

Three computers ar available in the CRM hall and can be used by the participants. Free Wireless Internet access is provided at the CRM and in the conference room. Password: crmwifikey

Copies can be made at the copy service of the University of Barcelona

Hotel Services

Telephone
All rooms at Hotel Campus are equipped with direct-dial telephones. To make an international call, dial “00” followed by the code of the country you are calling. All phone calls should be paid for at the hotel reception before departure. Photocopies may be made, and faxes sent and paid for via the hotel reception.

Internet
Wireless internet access is available at the hotel upon payment.

Means of Payment
The hotel accepts the following credit cards: American Express, Diners Club, Mastercard and Visa. It is also possible to cash travellers’ cheques and exchange currency at the hotel.

Arrival, On-Site Registration & Conference Secretariat

Please refer to the conference programme for further information about the registration time.

Participants will be asked to sign the attendance list and collect their name badges and then check in at the hotel reception. The conference registration desk, where supplementary information will be provided, will be indicated at the entrance. The ESF Conference Officer and the CRM Administration representer will welcome you at the registration point: it will be indicated at the entrance of the venue.

The ESF Conference Officer will be present for the whole duration of the conference and will take care of the administrative aspects and the day-to-day running of the conference. She will be at the registration desk half an hour each morning before the meeting starts, during coffee breaks, and before and after each afternoon session. The CRM Adminstration representer will also be present the first day.

Registration and Payment

Please confirm your attendance by filling in an online registration form accessible from the conference website.  

Conference fees are to be paid by credit card (Visa, Mastercard and Eurocard) via this form by the registration deadline (see conference website). A EUR 150 supplement is added if full payment has not been received by the registration deadline.

Payments by cash, cheque or bank transfer are not accepted.  

Cancellation and Refunds

Should you need to cancel your participation, please contact the Conference Officer immediately. If notice of cancellation is received more than two weeks before the conference, all but EUR 100 will be reimbursed. No refund is possible if notice of cancellation is received less than two weeks before the conference.

Extra Expenses

Any expenses not covered by the conference fee (additional nights, beverages, telephone calls, etc.) must be paid directly to the conference venue during your stay.

Board & lodging for accompanying guests (in double room with conferee) must be booked with the conference secretary and paid directly to the venue.

Accompanying guests are not entitled to take part in any of the actual conference activities (attend talks in the conference room, coffee breaks, etc.). Conference facilities, such as access to the internet, are destined for the sole use of conferees. Please note also that we do not organise a social programme for accompanying guests, who are kindly expected to make their own arrangements during the conference.

If you require extra accommodation in addition to the nights included in the conference booking, you will need to make your own arrangements by contacting the Conference hotel.

Travel Contributions

All reimbursements will be made by post-conference bank transfers. If you have been granted a travel contribution, please provide your bank account details – including IBAN and BIC/SWIFT numbers – in the online registration form.

Photocopies of travel tickets must be returned to the ESF Research Conferences Unit within a maximum of one month after the conference. No reimbursement can otherwise be guaranteed.  

Itinerary, price and currency must clearly feature on any ticket. Where no price is indicated on the ticket, the corresponding invoice must be enclosed.

Travel costs may not be higher than:

  • cheapest economy class air fare
  • OR second class train fare
  • OR bus fare from the participant’s place of work to the place of the event or may be the actual cost of travel, whichever is the lower.  

The following may NOT be considered as allowable travel costs and therefore may NOT be presented when claiming the travel contribution:

  • taxi fares (in exceptional cases, taxi fares may be reimbursed)
  • local travel in the city or locality of the event
  • costs of health, life and luggage insurance.  

Use of a private/rented car is covered either on the basis of a 2nd class return train fare documented by a certified travel agent, or on actual mileage according to the ESF coefficient applicable at the time of travel.

Please check your passport and visa requirements with your travel agent BEFORE departure. If you need help to obtain your visa, please contact the ESF conference officer.

Insurance

The European Science Foundation (ESF) does NOT provide insurance and do not take any responsibility for accidents or illnesses that might occur during the week or in the course of travel to or from the meeting place. It is therefore the responsibility of participants to check their health insurance requirements.
