Proposal Submission Procedures

  • Step 1: Download the Proposal Submission Template (.rtf 98 KB) and complete it. Save the completed file as an .rtf or .pdf file.
  • Step 2: Access the Online Submission page by following the link at the bottom of this page.
  • Step 3: Complete the online form and upload your completed Proposal Submission template.

Guidelines for Completing the Proposal Submission Template

The Proposal Submission Template (.rtf 98 KB)contains the following sections which must be completed. If sections are not addressed, your proposal will become ineligible. Use of the official Proposal Submission Template is mandatory.

Contact Details:
Name, e-mail address and the title of your proposal.

Scientific Domain:
You must select the applicable scientific domain of your proposed conference. Please choose only ONE domain.

  • Molecular Biology+
  • Physics/Biophysics and Environmental Sciences
  • Social Sciences and Humanities

Dates:

  • Indicate your preferred dates or date range for the conference.
  • The ESF will select the final dates and location for the conference.

Scientific Scope and Interdisciplinarity:

  • Describe the scientific scope of the proposal and the disciplines covered.
  • Describe the European dimension and added value of your conference proposal as well as the international dimension of your conference proposal.

Scientific Relevance:

  • Describe the scientific relevance in terms of novelty, originality and timeliness.
  • Will your conference take place regardless of the outcome of this call for proposals?
  • Are there any other conferences on a similar topic taking place within the same year?
  • Has the ESF already held of scheduled and ESF Research Conference on a similar topic?
  • Have you previously participated in and ESF Research Conference?

European Dimension:

  • Is European research in this area reflected? To what extent will European research benefit from this conference?
  • Describe the international dimension of your conference proposal if applicable.

Draft Programme:

  • Describe the structure of the conference.
  • Provide a tentative list of invited speakers, including their name, gender, home institution, area of expertise and special contribution to the conference.
  • Describe how early stage researchers will be actively involved in the proposed conference and how the interactions between participants and speakers will be promoted.

Participation:

  • How many early stage researchers are likely to participate?
  • What proportion of participants is likely to be from outside of Europe?
  • What is likely to be the largest national group?
  • What is likely to be the gender and geographical balance of participants?

Publicity:
How will you contribute to the advertising of this conference (e.g. mailing lists, websites, journals, etc.)?

Sponsorship:
Indicate which organisations will be approached for additional sponsorship and the amount of sponsorship that you expect to raise.

Curriculum Vitae of Proposed Chair and Co-Chair:
Each CV should be maximum 1 page. Include references of the 5 most relevant publications of the last 5 years.

 

Guidelines for Completing the Online Submission

The Online Submission Form contains the following sections which must be completed. If sections are not addressed, your proposal will become ineligible. Use of the online submission form is mandatory.

Proposal Title:
Preliminary Conference Title

ESF Domain:
For assessment purposes, you will be asked to indicate which scientific areas are covered by your proposal, according to the following ESF Domains:

Expected Number of Speakers
Number of invited speakers (maximum of 25, 10-20 recommended)

Expected Number of Participants
Number of expected participants (maximum of 130, 70-130 recommended)

Keywords:
Provide up to 5 keywords to describe the proposal content. These will be used to identify appropriate reviewers

Abstract:
Abstract of the proposal, maximum of 300 words

Personal Data:
Name, contact details, and competences of the chair

Co-Organisers:
Name, contact details and competences of co-organisers if applicable

Referees:
Provide the name and contact details of 3 potential referees. The ESF aims to receive no more than one assessment from the referees recommended by the chair. Please note that we will thoroughly check the quality of these recommended referees and potentials for conflict of interest. Scientists who are suggested as speakers or who are affiliated to the proponent will not be contacted.

Persons Not to be Asked to Referee:
Names and affiliations of persons not to be asked to referee the proposal, in particular due to conflict of interest.
